Each referral moves through a defined set of overall statuses as it is processed, reviewed, and decided on. Understanding these statuses helps you know what action (if any) is needed.

Statuses

StatusColorMeaning
PendingGreyReferral received, but no major action (decision or writeback to the EHR) has been taken yet.
WaitingDark greyThe referral is waiting on something external (e.g., additional documents or discharge date).
In ProgressBlueThe referral is being worked and has had a major action taken already.
Needs ReviewOrangeSomething requires manual attention before the referral can be completed.
CompleteGreenA decision was made and writeback to all systems succeeded.

Decision

Separate from status, a referral has a decision that reflects the outcome of coordinator review.
DecisionColorMeaning
AcceptGreenThe referral has been accepted for service.
DeclineRedThe referral has been declined. A non-admit reason is required.
A referral can be accepted or declined while its status is still In Progress during writeback. The decision and status are displayed as two separate indicators in the table.

Writeback sub-statuses

The Referrals product writes back to two external systems: HomeCare HomeBase (patient chart, and insurance) and the referral portal. Decisions and comments get sent back to referral portals via our integrations (excluding Forcura). Each write back has its own sub-status:

PendingGreyWriteback has not started yet.
ProcessingBlueWriteback is in progress.
PartialOrangeSome records wrote back successfully, others failed.
ErrorRedWriteback failed. Manual intervention may be required.
CompleteGreenWriteback succeeded.
You can view writeback sub-statuses in the referral detail view after a decision has been made.

Typical flow

Received → Pending → In Progress → (Accept or Decline) → Complete
If something goes wrong during processing:
Pending → Needs Review → (coordinator resolves) → In Progress → Complete
If writeback partially fails:
In Progress (partial %) → Error → (admin reruns writeback) → Complete
